For one of our clients based in Geneva specialized in Venture Capital and Private Equity, we are looking for a « Executive Officer » for a « Try and Hire » contract. The required tasks and skills are the following:
The main responsibility of the Executive Officer will be to assist the two executive directors with their agenda and oversee various operations within the company.
Executives’ support
– Manage executive directors’ schedules (travels, meetings, bookings, …)
– Manage executive directors’ communications (track communications, prepare emails on behalf of, scheduling of meetings, …)
– Provide administrative support (organize signatures, organize legal and strategic materials and plans, take minutes, review NDAs, …)
Geneva office management – with the support of a receptionist/office manager
– Reception of clients
– Coordinate agendas of the teams
– Supervise or take on all tasks related to the office management such as reaching out to suppliers, checking invoices, setting up the conference room system, purchase supplies, etc.
– Negotiate with external partners such as banks and service providers
Investment Relations
– Oversee timely dissemination of investment reporting documents through our portal
– In general, prepare replies to any queries raised by investors
Compliance and Risk
– Ensure AML compliance of funds with their local regulations and help local service providers accordingly
– Ensure regulatory compliance of different group entities
– Liaise with fund administrators and investors to keep AML files accurate and up to date
– Ensure compliance with regulatory deadlines for the entities of the group (FATCA/CRS reporting in different jurisdictions, regulatory audits, etc.)
– Prepare periodic reports for management and annual AML & Risk Audit
Legal
– Review and/or draft NDAs, employment contracts, general contracts with suppliers, etc.
